Multifunction all-in-one devices integrate printing, copying, scanning, and faxing into a single unit. They find broad applications across enterprises, government agencies, educational institutions, and individual offices, addressing document‑processing needs in diverse environments, boosting efficiency, and reducing both labor and resource costs. As cutting-edge, high‑performance technology, these devices offer significant convenience to office workers and are playing an increasingly vital role in office automation.
Although multifunction all-in-one devices offer a variety of features, printing remains their core function, as both copying and fax‑receiving capabilities rely on printing to operate. Accordingly, these devices can be categorized into two main types based on their printing technology: laser‑based models and inkjet models. Like standard printers, inkjet multifunction devices are generally more affordable and can produce color prints at a lower cost; however, their per‑page operating costs tend to be higher. By contrast, laser‑based multifunction devices are more expensive, and models priced under RMB 10,000 typically support only black-and-white printing. Their key advantage, though, is that their per‑page operating costs are significantly lower than those of inkjet models [1].

In addition to being classified according to printing technology, multifunction devices can also be categorized based on their functional capabilities. It’s important to note that although these devices typically integrate printing, copying, scanning, and faxing—though some may lack the fax function—the vast majority exhibit varying strengths across these functions, with one feature often taking center stage. Consequently, such devices tend to excel in a particular area; they are generally divided into print‑centric, copy‑centric, fax‑centric models, while scan‑centric models remain relatively rare. Of course, there are also all‑rounders whose performance in each function is exceptionally robust, though they usually come at a higher price. In theory, a multifunction device encompasses printing, scanning, copying, and faxing; however, in practice, any product offering just two of these functions can already be considered a multifunction device [2].

Printing is one of the most basic functions of an all-in-one device. Before you begin, import the document you wish to print into your computer and open it. In the print settings, you can select options such as the number of copies, duplex or simplex printing, paper size, and paper orientation. Once you’ve confirmed your settings, click the “Print” button to start printing.

Copying is another common function of multifunction all-in-one devices. Before you begin, place the document to be copied in the document feeder or on the scanner glass, and adjust its position and size. In the copy settings, you can select options such as the number of copies, single- or double-sided printing, paper size, and paper orientation. Once you’ve confirmed your settings, simply press the “Copy” button to start the process.

Scanning can convert paper documents into electronic files, making them easy to store and share. Before you begin, place the document to be scanned on the scanner glass and adjust its position and size. In the scan settings, you can select options such as scan resolution and color mode. Once you’ve confirmed your settings, click the “Scan” button to start the process.

Fax can transmit electronic documents to other phone numbers or email addresses. Before use, you must first import the document you wish to fax into your computer and open it. In the fax settings, you can select options such as the destination phone number, transmission speed, and file format. After confirming your settings, simply click the “Fax” button to start the transmission.

The document feeder and the flatbed scanner are essential tools for everyday copying and scanning. The document feeder enables you to quickly copy or scan batches of documents, such as tender documents and contracts; however, be sure to remove staples and align the paper properly to avoid paper jams. When using the flatbed scanner, place the document with its top-left corner aligned.
